Job Description:
PACE Supply Corp. is seeking an HRIS Data & Compliance
specialist for our People Department in Rohnert Park, CA.Our Data &
Compliance Specialist maintains optimal function of the human
resource information system (HRIS), which may include installation,
customization, development, maintenance, and upgrade to
applications, systems, and modules. Configures the system to meet
ongoing business needs and generates reports to support HR
functions, including compensation, compliance, performance
management, and workforce analytics. Assists and maintains the
employee and managers portal. Will support with communicating,
educating, and enforcing business process rules and policies as
needed. Ensures system compliance with data security and privacy
requirements.Human Resource Information System Management
- Assists and maintains optimal function of the HRIS, which may
include installation, customization, development, maintenance, and
upgrade to applications, systems, and modules.
- Assists and maintains internal database files, tables, codes,
backup files, integrity, and security.
- Provides technical support, troubleshooting, and guidance to
HRIS users.
- Manages permissions, access, personalization, and similar
system operations and settings for HRIS users.
- Programs custom functions and documentation such as automated
queries, filters, macros, and reports.
- Compiles or assists with the acquisition of complex data
reports, summaries, and logs for executives and People managers and
staff.
- Maintains knowledge of trends and developments in HRIS
providers, vendors, and technology.
- Assists with the procurement of appropriate hardware and
software to ensure that the organization has high quality,
efficient systems. Helps facilitate migration to a unified HRIS if
required.
- Assists in building and maintaining a manager and employee
portal.
- Assists with maintaining paper and electronic employee files
and complies with retention regulations.
- Assists with maintaining records and compile statistical
reports concerning personnel-related data, such as hires,
transfers, performance appraisals, and absenteeism rates.
- Supports Data & Compliance Manager in fulfilling all reporting
requirements of all relevant government rules and regulations.
- Assists with providing required data for legal cases.
- Develop user procedures, guidelines, and documentation.
- Research and resolve HRIS problems, unexpected results, or
process flaws.
- Enters data related to new hires, personnel actions, and
employee-initiated data changes.Policy and Procedures Document
Control, and Maintenance
- Assists the Data & Compliance Manager with the communication of
any changes in policy in coordination with the People Business
Managers, Talent Acquisition Manager, Talent Development Manager
and Total Rewards Manager.
- Print and distribute updated policies and Employee Handbook as
needed.
- Scan and upload policies according to company procedures and
retention rules.Compliance Support
- Help communicate and track corporate ethics statements,
policies and supporting forms/acknowledgements.
- May help assist the Data & Compliance Manager in conducting
annual corporate governance audits to determine the state of the
corporation and presents findings to superiors.
- Assists with tracking and reporting employee training on
compliance related topics, policies, or procedures and generate
reports for the Data & Compliance Manager and the PBMs for specific
branches.
- Assists with verifying that all regulatory policies and
procedures have been documented, implemented, and
communicated.
- Prepare management reports regarding compliance operations and
progress.
- Assists the Data & Compliance Manager in the consistent
implementation of all People policies and procedures across all
hiring requirements.
- Help conduct periodic internal reviews or audits to ensure
consistent implementation of policies across all PACE departments,
divisions and locations.Performance Management Support
- Track completion of performance reviews by department,
division, branch, or manager.
- Provide reports as needed.
- Performs other duties as required.Minimum EducationHigh School
DegreeMinimum Work Experience and SkillsAt least 3 years related
experience in the same capacity from a company with at least 200
employees.Average verbal and written communication skills.Average
interpersonal.Above average technical support skills.Excellent
organizational skills and attention to detail.Ability to keep
information confidential.Proficient with Microsoft Office Suite or
related software.Thorough understanding of all areas of information
systems with a highly technical understanding of at least one
commercial HRIS product.Ideal EducationBachelor's Degree in
Information Technology, Human Resource Management, Business
Administration Ideal Work Experience and Skills5 years experience
in the same capacity from a company with at least 1000
employees.Familiarity with human resource policies and procedures
to ensure the HRIS meets organizational needs and goals.Strong
analytical and critical-thinking skills.Ideal Professional License
or designationsSHRM Certified Professional (SHRM-CP) or Senior
