Summary

Traditional Medicinals is searching for an energetic and creative professional to oversee the employee and workplace experience by managing the office operations and creating programs and solutions that enhance the employees experience throughout their journey at Traditional Medicinals. This position is essential to building and sustaining the Companys culture and inspiring and modeling the TM way. The ideal candidate will have a minimum of 3 years of experience creating a highly functional, organized, and fun workplace that meets the needs of a diverse employee population.  This position reports to the Director of Talent Acquisition.

Essential Duties & Responsibilities:

Workplace Experience

  • Manage office supplies inventory for the company and place orders as necessary
  • Manage and oversee duties related to the reception in the SOMO facility, including answer, screen, and direct incoming calls, and greet visitors
  • Manage the employee lunch/snack program, conference room setup, and breakroom supplies
  • Receive and sort incoming mail and deliveries, and manage outgoing mail, which includes creating shipping labels and managing postage machinery
  • Serve as point of contact with property management for all landlord requirements, including fire inspections, construction buildouts and renovations, maintenance, and permits/ insurance
  • Managing the employee electric car charging benefit program
  • Coordinate office layout planning, office moves, and signage
  • Manage facilities maintenance services janitorial, plant service, plumbers, alarm, shred bins, etc.
  • Work with business partners to administer safety protocol and emergency coordination for fires, floods, etc.
  • Identify opportunities for process and office management improvements
  • Maintain employee directory
  • Manage office budget and process invoices

Employee Experience

  • Design experience programs by identifying needs and securing resources. This will include project planning, execution, communication, and coordination
  • Serve as an internal ambassador for our culture and core values and build a genuine connection across all employees
  • Work closely with cross-functional leaders within IT, Social Responsibility, and DEI to identify opportunities to enhance a positive employee experience (e.g. training, celebrations, and volunteering.)
  • Manage the logistics for companywide events such as all-employee meetings, holiday celebrations, diversity, equity and inclusion events.
  • Take care of employees general wellbeing, which includes welcoming new employees, orientation days, tea program, recognition, etc.
  • Conduct employee surveys, analyze data to identify areas of opportunity

Additional Duties:

  • Other duties as assigned
  • DEI committee member

 

Minimum Requirements:

  • Minimum of 3 years of work experience in an administrative, project management, or office management capacity
  • Minimum of 3 years of experience working in the HR, training and/or employee experience space, preferable at a startup company
  • Experience with expense management and budgeting, Concur experience a plus
  • Event planning experience

Education:

  • Bachelor's degree or equivalent experience in human resources, business, hospitality, communications, or related field

Skills & Abilities:

  • Creative, out-of-the-box thinker and ability to research and identity current employee experience trends
  • Demonstrated ability to work independently, manage time and resources, organize and prioritize work across multiple projects, be detail-oriented and work within tight deadlines
  • Proven track record of managing complex programs and projects that are accurate, on time and on budget
  • Excellent oral and written communication skills appropriate for all levels of an organization
  • Skilled at managing a high level of detail and concurrent projects/tasks
  • Culturally sensitive with high emotional intelligence
  • Strong presentation skills
  • Able to effectively collaborate and partner with a range of internal groups 
  • Ability to work in a fast-paced environment
  • Advanced proficiency with MS Suite
  • Ability to recognize problems, collect data, analyze results and make recommendations
  • Ability to manage multiple and shifting priorities

 

Physical Requirements:

  • Ability to read, analyze and interpret business documents
  • Ability to communicate via speech, writing and hearing with employees, vendors or members of the business community
  • Ability to travel to different work locations and meeting sites
  • Must be able to stand; walk; reach with hands and arms
  • Frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 30 pounds
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to focus.
