Job Description Summary: The Office Coordinator will work closely with the Office Experience Manager provide administrative and facilities support with daily operations of the office. The position also supports our employees and provides them with the services and resources needed to perform their job. The ideal candidate will have a ---can do--- attitude and is excited to provide great customer service. This person should also enjoy multitasking and solving problems in the moment. This is a part-time, temporary position with an average of 25 hours a week and is located onsite at our Rohnert Park office. Essential Duties & Responsibilities Greet/host/provide front desk support for guests, visitors and employees Maintain all conference rooms for cleanliness Order, maintain and organize all kitchen and office supplies; conduct regular inventory audits Coordinate pick-up, drop-off of packages and prepare postage/labels for mail/UPS/FedEx, courier services, etc. Assist with event planning and setup/teardown for office events --- holiday party, large meetings, Provide new employee onboarding support --- desk setup, supplies, phone list update, employee announcement, etc. Coordinate monthly employee tea order give-away Coordinate vendor services related to building maintenance. Other duties: Support coordination and planning of department luncheons and various special events Experience Requirements College degree or relevant experience preferred 1-3 years administrative/facilities experience Demonstrate a high level of proficiency and working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook Demonstrated capacity to multi-task in a fast-paced, professional environment Dealing with Ambiguity --- can effectively cope with change, can shift gears comfortably, can decide and act without having the total picture Interpersonal savvy --- relates well to all kinds of people, up, down, sideways, inside and outside the organization and uses tact and diplomacy Learning on the fly --- learn quickly when facing new problems, open to change, quickly grasps the essence and underlying structure of anything, enjoys the challenge of unfamiliar tasks Excellent customer service and relationship building skills Strong organizational, interpersonal and communication skills Optimistic and outgoing personality General accounting clerk skills Work independently with minimal supervision Have a working knowledge of Audio-Visual equipment located in the conference rooms Excellent oral and written communication skills (spelling, grammar and punctuation) Be a team player, dealing effectively with coworkers and internal clients at all levels Powered by JazzHR Su6uzAHEzg
